Order Management Representative

Order Management specialist (German Speaking)

For our client, an international organization in the Amsterdam area, we are currently looking for an Order Management Specialist. In this role, you will work closely with the Global Integrated Supply Chain team to ensure the smooth and timely management of the Order-to-Cash (OTC) process. You will be responsible for handling customer inquiries related to export, reservations, and MTO orders, providing professional and efficient backend support.

You will collaborate with internal teams, including accounting, quality assurance, logistics, supply/demand planning, and commercial, to ensure a seamless customer experience. You have strong communication skills, are customer-focused, proactive, and highly organized. Additionally, you are enthusiastic, spontaneous, proactive and precise.

What you will do:

• Process daily orders within set service levels in the order fulfilment system.
• Ensure all orders are entered accurately according to defined processes and procedures.
• Handle price overrides with accuracy and follow up as needed.
• Maintain and update customer data in a timely and accurate manner within service level agreements.
• Generate and manage daily open order reports to meet customer needs.
• Act as the interface between customers, carriers, warehouse offices, and other relevant departments.
• Prepare pro-forma invoices when applicable.
• Collaborate daily with internal departments such as accounting/credit, procurement, warehouse, and distribution.
• Perform operational and/or project-related tasks as assigned by the Team Lead.
• Monitor the Order-to-Cash (OTC) and after-sales process.
• Validate, obtain approval, and execute credit notes for issues such as price errors, late deliveries, damaged, or lost goods.
• Provide customers with detailed product, pricing, and availability information.
• Supply customers with necessary documentation, including quality certificates, supplier questionnaires, statements, and quality resolution letters.
• Ensure compliance with legal requirements for customs documentation and product quality information.
• Maintain availability to respond promptly to customer inquiries and meet customer needs.

What we ask:

• Work experience in a customer-facing role or in a logistics/planning role
• Post-secondary college (MBO), preferable business administration or equivalent
• Fluent in English and German
• Practices self-development
• Experience working internationally or with different cultures
• Work experience in a role requiring extensive use of Microsoft Office, especially Excel, business management software / systems SAP, Salesforce, ERP
• Experience working in a customer service environment.

What we offer:

• This is a position for 40 hours a week 5 days a week (Full Time)
• Salary depending on experience (€3000 - €3500)
• Travel allowance
